**Mission**
Provide administrative support to the HS Department in Spain.
Keep all existing records up to date, including both manual reports and updated ones.
Update CAE platforms.
Prepare various required reports and statistics.
Ensure that facilities, equipment, and services operate correctly and without interruption.
### **Key Responsibilities**
**Main Responsibilities**
Manage the daily operation of facilities (offices, warehouses, equipment, and general services), identify maintenance needs, and log corresponding incidents via established channels.
Perform end-to-end incident tracking, coordinating with internal and external suppliers until resolution and closure.
Maintain up-to-date records of incidents, actions taken, budgets, and suppliers.
Verify quality and adherence to deadlines for completed work.
Prepare and deliver all documentation for the “Onboarding Program” to new hires, including training manuals and information related to Occupational Risk Prevention (PRL).
Coordinate with the occupational health surveillance service and employees to schedule initial and annual periodic medical examinations (Article 22 of Law 31/1995 on PRL).
Track, collect, and archive workers’ medical fitness certificates.
Manage control, inventory, and supply of Personal Protective Equipment (PPE) required by field service engineers (FSE), including associated documentation as stipulated under Article 17 of Law 31/1995 on PRL.
Conduct periodic inspections of PPE condition and retain documentary evidence required by current regulations.
Supply PPE and manage documentation generated during the process.
Track PRL training courses that employees must complete through Glory Academy for subsequent archiving or use on customers’ CAE platforms.
Register as new users on customers’ CAE platforms to comply with the legal obligation regarding coordination of business activities (Royal Decree 171/2004\).
Update various platforms daily to ensure FSEs can access customers’ facilities to deliver required services.
Prepare and adapt different CAE platform documentation templates and send them to each worker and director for signature.
Collect all documentation required by each customer’s CAE platforms:
Monthly Social Security contribution certificates.
Tax Agency overdraft certificate, issued semi-annually or annually.
Annual certificate confirming validity of the company’s Civil Liability Insurance policy.
Monthly TC1, TC2, and ITA forms.
Other certificates requested by the customer (e.g., payroll payment confirmation, non-mandatory Accident Insurance status, etc.).
Job-specific risk assessment and planning.
Worker-specific documentation: training certificates and information, PPE delivery records, medical fitness certificates, among others.
