**Job Mission:**
The Construction Administration Assistant will be responsible for providing comprehensive administrative support in managing ongoing construction projects, ensuring proper organization, documentation, and tracking of all administrative tasks related to site operations.
**Key Responsibilities:**
* Document management: Receiving, archiving, and controlling all documentation related to the construction project (contracts, delivery notes, invoices, drawings, permits, etc.).
* Delivery note and invoice control: Verification, registration, and processing of delivery notes and invoices from suppliers and subcontractors.
* Purchase order management: Placing orders for materials and tools required for the construction project.
* Payment tracking: Assisting in monitoring and tracking payments to suppliers and subcontractors.
* Communication: Acting as the administrative point of contact for internal and external inquiries related to the construction project.
* Support to the Site Manager: Assisting in preparing reports, presentations, and other requested administrative tasks.
* Coordination: Collaborating with other departments (procurement, accounting, etc.) to ensure smooth information flow.
* Meeting organization: Scheduling meetings and preparing necessary documentation for construction meetings.
* On-site personnel administration: Administrative tasks related to personnel (working hour tracking, daily work reports, etc.).
* Administrative incident management: Recording and tracking administrative incidents that arise.
* Archiving and digitization: Maintaining physical and digital archives of construction documentation.
* Administrative support for occupational risk prevention management.
REQUIREMENTS
**Job Requirements:**
* Intermediate or Advanced Vocational Training in Administration, Finance, or a related field.
* Proven administrative experience of at least two years, preferably in the construction or civil engineering sector.
* Proficiency in office software (Microsoft Office: Word, Excel, Outlook, PowerPoint).
* Knowledge of management software or ERP systems (experience is advantageous).
* Strong organizational and planning skills.
* Attention to detail and rigor in handling information.
* Communication and teamwork skills.
* Proactivity and problem-solving ability.
* Residence in Zaragoza or surrounding areas.
**Preferred Qualifications:**
* Familiarity with construction-sector terminology and processes.
* Experience using construction-specific project management software.
* Basic accounting knowledge.
* Valid driver’s license and personal vehicle (not mandatory, but considered an advantage).
