**We are looking for a timeshare reservation agent who will be based at the hotel according to season (summer in Formentera / winter in Sierra Nevada) with 6-month residency at each destination (fixed contract).** **The Formentera season will run from May to October inclusive, while the winter season in Sierra Nevada will run from November to April inclusive.** **Attractive salary conditions.** **Shared accommodation and meal allowances included in the package.** **Vacations will be taken between the opening and closing periods of each hotel.** Responsibilities regarding Marbella Club group hotels: * Must act as an ambassador for the hotels both inside and outside the premises. Must take pride in providing attentive and professional service, upholding the company's excellent image and reputation. Behavior must be exemplary at all times. * Maintains all quality standards specific to the hotel and Small Luxury Hotels. Will comply with departmental standards and procedures, as well as those applicable to all hotel employees. * Strives to create a positive working environment that ultimately reflects in excellent customer service by all staff. * Must absolutely preserve the confidential nature of information related to guests and hotel operations. * Uses work tools professionally, complying with established regulations. Keeps both personal appearance and workspaces immaculate, even if these areas are not accessible to external guests. **Reservation Department Responsibilities and Functions:** Individuals working in the Reservations Department must be courteous, polite, and fluent in several languages. It should be remembered that **this will be the customer’s first impression of the hotel. Therefore, this initial** contact with the hotel must occur through friendly interaction and a genuine desire to meet the guest’s needs. * The Reservations Department must work closely with all departments within the hotel to enhance the hotel's image and guest service. * The Reservation Officer must understand and be aware of the hotel’s performance results and objectives, using this information to make informed decisions during work. * Must have complete knowledge of the hotel’s service offerings and their terms of use in order to provide accurate information to guests. * Must be fully updated on current rates, promotions, events, discounts, payment methods, etc. * Process reservations received through various channels, ensuring maximum sales efficiency and assigning accommodation prices according to the appropriate rate offer. * Fulfill commitments made to guests within the promised timeframe. * Identify and verify room availability and keep information updated. * Handle modifications, extensions, and cancellations of existing reservations. * Use the OPERA PMS system properly, ensuring every reservation is accurately recorded, updated, and meets established standards. * Collect and organize data from direct guests, travel agencies, tour operators, and companies, verifying accuracy and keeping records current. Understand the relationship these entities have with the hotel, along with specific contracts, agreements, and conditions. * Monitor payments, credits, deposits, and guarantees made by guests, whether direct or through tour operators or travel agencies. * Be familiar with agencies, companies, central reservation systems, etc., that are regular sources of guests and understand their relationship with the hotel. * Manage and keep the Waitlist updated. **Reservation Booking Procedure:** * Greet respectfully and correctly. Answering politely facilitates a good relationship with the guest. * Handle reservation requests professionally and courteously, efficiently resolving any situation while adhering to hotel and SLH standards. * Request and note the guest’s name to use throughout the conversation. Using their name makes the guest feel recognized and reassured that their request is being personally handled. * Check availability for the requested dates and room category. If unavailable, apologize politely and always offer an alternative. * Inform the guest about different rates, promotions, and discounts, including those related to accommodation and other departments. * During communication with the guest, whether verbal or written, pay maximum attention to their request, anticipate needs, and fulfill desires as much as possible. * Avoid promising anything that cannot be delivered, as unmet promises lead to unfulfilled expectations. * If the guest has not stayed at the hotel before, try to obtain as much information as possible. Describe the hotel, detail its facilities, and proactively offer not only accommodation but also additional services: airport transfers, golf, spa, restaurant, kids’ club, etc., and check the history of returning guests. * If the guest has previously stayed at the hotel, retrieve their history, verify details, and make the reservation considering their preferences and needs. * Record all reservation details: full guest name, number of people, arrival/departure dates, room type, phone number, address, and credit card information. * Accurately record all guest preferences, special requests, and comments, paying special attention to special bookings: repeat guests, VIPs, special occasions, etc. * Discreetly inquire about the purpose of travel and recommend suitable accommodation and services accordingly. * All relevant information must be recorded clearly and concisely to facilitate sharing across all involved departments. * Enter all confirmed reservations into the Opera computer system. * The reservation agent must reconfirm all details, inform the guest of cancellation policies, check-in/check-out times, and provide a confirmation number.
