You will be part of a JLL team working closely with one of our most dynamic and fast\-growing clients from the online retail industry. Based in Madrid (hybrid), you will operate across multiple workstreams simultaneously, providing essential coordination and operational support to the Pre\-construction team and the broader Capital Program Group. The role combines elements of Project Coordination, Cost \& Commercial Support, and Process Management. The ideal candidate is highly organized, analytically strong, and capable of managing competing priorities in a fast\-paced, multi\-cultural environment. This role supports the Pre\-construction function and Capital Program Group in delivering high\-value projects across the Client's Corporate Real Estate (CRE) portfolio across EMEA, driving operational improvements to meet contractual obligations and continuously raising the bar for outstanding service delivery. **What your day\-to\-day will look like:** Manage weekly Projects Intakes \& Steering Committee meetings, liaise with SPM to ensure new intakes are entered in ADW, and support PCM in migrating the intake process from Smartsheet to Asana Support PCM in raising new Purchase Orders (POs) as required and maintain a finance tracker for all new POs raised, while maintaining the Precon document repository (ACC) and ensuring all documents are correctly stored Act as gatekeeper of ADW Precon reports, ensuring projects are updated bi\-weekly and reports are issued to RPMs, Procurement, SecTec, and CIB, while also serving as gatekeeper of design reviews to maintain consistent design standards Assist Program Managers (PMs) with coordinating project\-related administrative tasks, accompanying and helping to shape projects from initiation through full administrative project close\-out Support PMs in coordination and timely execution of project documentation and reporting between the client's Procurement, Finance \& Accounting, Legal departments and third\-party vendors to ensure compliance with document control structure and policies Proactively flag foreseen risks, monitor risks closely, and support relevant teams in resolving them, while supporting PMs in compliant cost and finance management driving timely PO issue, invoice payments, and final account reconciliation Manage the cost report process across the portfolio, ensuring accuracy, consistency, and timely delivery, while developing and maintaining a thorough understanding of the end\-to\-end cost reporting process Identify, troubleshoot, and resolve issues when processes break down, implement enhancements as required, and regularly contribute to or lead initiatives to elevate BAU towards operational excellence in line with Change Governance and EGREFO PM methodology. **Required Qualifications:** Bachelor's or Master's Degree in Business Administration, Finance, Construction, Legal, or a related field Minimum 3 years' experience in commercial real estate area, preferably in a multi\-cultural, fast\-paced corporate environment 1\-2 years' practical experience in a real estate support role for project/construction management Sound understanding of terms and conditions, preferably related to procurement/vendor management of construction projects Excellent time management with proficiency in handling multiple projects and tasks simultaneously Strong planning and organizational skills to prioritize work and perform under time pressure to meet tight deadlines Strong analytical skills with proficiency in data gathering, information monitoring, problem assessment, and problem solving Strong interpersonal skills with ability to win trust and collaborate with remote project teams and stakeholders Strong written and verbal communication skills with very good English (essential and required) Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook). **Preferred Qualifications:** Sound knowledge of CPG project delivery methodology and procedures Experience in cost reporting or cost management processes within a real estate or construction environment Familiarity with ADW, Asana, ACC (Autodesk Construction Cloud), or similar project management/document management platforms Ability to manage and improve operational processes, including troubleshooting and implementing enhancements Project Management proficiency in use of standard tools for project management with capability of identifying need for escalation Attitude to accept responsibilities and work autonomously to "make things happen" while also participating as a team member Well\-mannered behavior and high business ethics Flexible with work hours and travel if needed Experience working with client's Procurement, Finance \& Accounting, Legal departments and third\-party vendors Ability to proactively lead or contribute to documentation and control of processes and data\-driven analysis. **Location:** Onsite At JLL, we are collectively shaping a brighter way — for our clients, ourselves and our fellow employees.
