Job Summary:
Comprehensive coordination of travel, events, and port services, as well as support for expatriates and operational tracking with financial control.

**Job Requirements**
The set of activities to be carried out are as follows:
* **EVENT AND MOBILITY MANAGEMENT**
o Comprehensive management and coordination of domestic and international travel, including processing of
expense requests and submissions in corporate tools (SAP CONCUR or others).
o Coordination with travel agencies for booking and issuing transportation and accommodation.
o Comprehensive organization of events related to training programs, institutional visits, and international missions.
o Planning, management, and tracking of transportation services associated with operations, including:
* Mass transportation (regular and on-demand routes).
* Transfers (airports, train stations, hotels).
* Internal transportation within facilities, including naval base during sea trials.
* VIP vehicles, rental and leasing vehicles, and taxi services.
* Coordination with transportation offices of various work centers and involved suppliers.
* **PORT SERVICES MANAGEMENT AND PROVISIONING MANAGEMENT**
o Coordination, planning, and tracking of port services required for operational execution, in collaboration with suppliers and competent authorities.
o Comprehensive management of food supply, including demand forecasting, order processing, delivery coordination, and quality and requirement compliance control.
o Liaison with suppliers to ensure service availability and proper delivery.
**EXPATRIATE SUPPORT AND ASSOCIATED SERVICES**
o Advisory and administrative, medical, and other support for expatriate staff and their families.
o Assistance in key procedures, including simultaneous interpretation when necessary.
o Provision of oral and written translation and interpretation services in English and French.
o Development, organization, and implementation of the Welcome Plan.
o Creation of welcome manuals and informative documentation.
o Management of complementary support activities, including handling and tracking of fleet vehicle fine settlements.
o Any other necessary support actions to facilitate staff integration and operational effectiveness.
* **OPERATIONAL TRACKING, CONTROL, AND COORDINATION**
o Development, analysis, and tracking of key performance indicators (KPIs) for managed services, especially in transportation and travel.
o Financial tracking and control of contracts and services, including cost estimation, billing planning, and budgetary control.
o Document management associated with operations (visas, reports, meeting minutes, memoranda, and other documents).
o Acting as a communication liaison between the contracting company, suppliers, and national and international armed forces.
o Interdepartmental coordination and participation in follow-up and negotiation meetings with clients.
o Development, implementation, and updating of operational procedures.
o Incident management, as well as proposal and tracking of corrective and continuous improvement actions.
o Execution of general administrative tasks, including database management, archiving, digitization, and document registration.
PRINCIPAL RESPONSIBILITIES / ACCOUNTABILITIES
* Ability to work independently and as part of a team.
**Work Experience**
* International Relations, Marketing, Tourism, Event Organization (Vocational or University Degree)
* Experience in managing and coordinating domestic and international events. (Minimum 2 years)
* Experience working in international environments with clients/suppliers. (Minimum 2 years)
* English and French (minimum B2 level)
* Communication skills and customer service orientation
