ICFO is seeking a Labor Affairs Process Assistant to support the Labor Affairs team in implementing and improving labor management processes and digitalizing workflows.

ICFO is a research center located at the Parc Mediterrani de la Tecnologia, in the metropolitan area of Barcelona, with approximately 500 people including research staff, PhD students, and administrative and services personnel. The ICFO Labor Affairs team forms part of the Finance and Compliance Area and is responsible for managing labor relations and ensuring regulatory compliance affecting ICFO personnel. This team works closely with research teams and other operational teams such as Talent Attraction, Academic Affairs, Finance, and Project Financial Control to ensure that labor-related processes operate efficiently and in accordance with applicable regulations and institutional policies.
Currently, ICFO is driving several initiatives aimed at improving and modernizing administrative processes linked to the labor domain, including the implementation of new digital tools and the development of more transparent and efficient internal procedures across the entire employment lifecycle.
To support these initiatives, ICFO seeks to hire a Labor Affairs Process Assistant through a professional practice contract, who will work jointly with the Labor Affairs team and the Area Management on implementing new tools, digitizing workflows, and documenting internal labor-related procedures.
**POSITION DESCRIPTION**
The selected candidate will provide **support to the Labor Affairs team in implementing and improving labor management processes** within the institute.
A significant portion of the role will focus on implementing and providing operational support for new institutional tools, particularly those related to time tracking and flexible remuneration schemes for employees.
The position will also contribute to the digitization and structuring of administrative workflows associated with the employment lifecycle, including onboarding, offboarding, and handling internal employee requests.
This role aims to support the Labor Affairs team during a period of process improvement and system implementation, contributing to the transition from manual or fragmented administrative practices to more structured and digital workflows.
The position offers the opportunity to gain practical experience in labor relations management within an international research institution, participating in initiatives designed to improve institutional processes.
**KEY RESPONSIBILITIES**
* Support the implementation and operational monitoring of the time-tracking system across the institute.
* Assist in the implementation and rollout of the flexible remuneration program for ICFO staff.
* Contribute to the digitization and structuring of labor-related administrative workflows, including onboarding and offboarding processes, in collaboration with other teams.
* Support the implementation of new digital systems for managing employee administrative requests.
* Assist in implementing and using digital tools and document management systems related to labor relations processes.
* Collaborate with Labor Affairs Officers in preparing and monitoring administrative procedures related to personnel labor matters.
* Support the documentation and standardization of labor procedures and internal guidelines.
* Assist in organizing templates, records, and internal documentation related to labor management.
* Contribute to analyzing and improving existing administrative workflows, identifying opportunities for simplification, automation, and better documentation.
* Provide operational support to the Labor Affairs team in executing ongoing institutional initiatives.

**QUALIFICATIONS AND LANGUAGES**
* Bachelor’s or Master’s degree in Labor Relations, Law, Human Resources, Business Administration, Public Administration, or related fields.
* Eligibility for hiring under a professional practice contract, in accordance with Spanish labor legislation (degree obtained within the last 3 years).
* Minimum English level B1\.
* Fluency in Catalan and Spanish.
**OTHER VALUABLE MERITS:**
* Academic training or specialization in labor law or labor relations.
* Interest in improving administrative processes and digitizing HR or labor-related processes.
* Familiarity with HR systems, workflow tools, or document management platforms.
* Experience in organizing documentation, procedures, or administrative records.
* Ability to work collaboratively in multidisciplinary teams.
* Interest in working in an international research environment.
