To support our growth and presence in Spain, we are looking for an Executive Assistant eager to contribute to an ambitious project, working within an international, dynamic, and flexible team at our Spanish office. We are located in Barcelona, in the Eixample district. **Main Responsibilities** **Support the General Manager of the subsidiary and the Waga Energy Spain team:** * Manage facilities and suppliers involved with the subsidiary. * Contribute to structuring the subsidiary’s (digital) document management system. * Support implementation of legal and regulatory compliance processes. * Foster internal communication within the team. * Organize event logistics. * Maintain regular communication with suppliers and customers. * Coordinate with senior consultants and operational partners. **Ensure Back-Office Support for Commercial Development in Spain:** * Support the sales team with tenders. * Manage confidentiality agreements (NDAs). * Participate in organizing various trade fairs. **Coordinate Waga Energy Spain activities with headquarters support teams:** **Accounting:** * Ensure monitoring of invoices, payments, and treasury. * Participate in administrative tasks related to customer invoicing, in collaboration with the Contracts Department. * Prepare periodic reports for headquarters. * Maintain relationships and follow up with banking institutions. **Legal:** * Monitor the corporate organization of the Spanish subsidiary. **Insurance:** * Track insurance-related files. **Project Contracts:** * Ensure preparation and reporting support for WagaBox projects in Spain. **IT:** * Support the department in equipment procurement, manage relationships with local suppliers, and implement IT procedures. **Human Resources:** * Assist the International HR Manager in administering subsidiary personnel (onboarding support: mutual insurance enrollment, medical examinations, training, etc.). **QHSE (Quality, Health, Safety & Environment):** * Coordinate risk prevention and PPE management matters with the France team. **Essential Requirements** The ideal candidate must hold a degree in administrative management and/or executive assistance, and have at least five years of experience in a similar role within the Spanish context. A solid general knowledge base and demonstrable experience in administrative management and assistance are required. Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook, and Teams), as well as strong writing skills, is essential. The ideal candidate must demonstrate high organizational ability, rigor, and excellent communication skills. The profile is completed by a natural aptitude for assistance and collaboration with colleagues and external stakeholders. Occasional travel to the headquarters in France and within national territory is required.
