




The Pere Mata Institute is a service organization that manages an extensive network of facilities within Catalonia’s public system: from specialized outpatient services for adults and for children and youth under 18, to inpatient care facilities and other specialty resources. **FUNCTIONS:** * Maintain up-to-date information and data in the JANO software. * Monitor the proper functioning of the JANO Mobile application. * Schedule work timetables and generate calendars using the JANO software, as well as manage related substitutions and on-call shifts. * Monitor and supervise weekly individual schedules of direct-care teams, coordinated with respective technical staff. * Assess and manage changes to scheduled working hours and calendars. * Track each employee’s surplus or deficit of working hours to balance them via substitutions or other assigned tasks. * Receive and process documentation justifying staff absences. * Participate—alongside the rest of the technical team—in onboarding newly hired staff. * Design, distribute, and monitor satisfaction surveys for service beneficiaries. * Understand and apply data protection and data transfer protocols, as well as any other existing documentary protocols. * Identify required professional profiles, manage personnel selection platforms, pre-screen applications, and conduct pre- and post-selection communication with candidates. * Prepare, receive, and manage files for service beneficiaries and/or new hires. * Act consistently with the organization’s Code of Ethics and the principles of SSAPLL/LL-S. * Know and uphold professional rights and responsibilities regarding confidentiality of beneficiary and organizational data. * Perform any other duties expressly assigned according to their nature. **SKILLS:** * Ability to plan and organize one’s own work. * Collaborative, coordinated, and interdisciplinary teamwork. * Accountability for assigned tasks and responsibilities. * Discretion and respect for the privacy and confidentiality of individuals’ data. * Continuous learning and adaptation based on experience. * Assertive and effective communication. * Flexibility in working hours. * Efficient use of available resources. * Innovation and creativity, proactive attitude. **FORMAL EDUCATION:** * Intermediate or higher vocational qualification in administrative assistance or equivalent. **KNOWLEDGE:** * Familiarity with various personnel selection platforms. * Knowledge of contractual documentation (HR). * Classification, registration, and archiving of communications and documents. * Understanding of current regulations and quality protocols. * Valid driver’s license and personal vehicle. * Proficiency in computer applications and database management.
