Working closely with Quantity Surveyors (QS), Commercial Leads, and Commercial Managers, this role is critical in managing commercial documentation, procurement administration, financial tracking, and reporting, particularly in fast\-paced data centre environments. **Key Responsibilities of the Role:** **Commercial Administration \& Compliance** * Maintain structured and up\-to\-date commercial documentation and filing systems * Control and track contracts, subcontracts, LOIs, POs, and change orders * Manage commercial trackers (variations, subcontracts, procurement logs, payments) * Maintain and track Authority Matrix approvals **Project \& Commercial Support** * Support QS and Commercial Managers with daily commercial activities * Prepare documentation for valuations, cost reports, and commercial submissions * Compile supporting documentation for variations and claims * Assist with commercial reporting (cashflow, commitments, cost tracking) **Procurement \& Tender Support** * Support procurement processes, including requisitions and purchase orders * Track and manage tender enquiries, PQQs, and submissions * Assist with tender reviews, RFIs, cost estimates, and commercial submissions * Participate in procurement reviews and ensure compliance with procedures **Subcontract \& Payment Administration** * Support subcontract administration (contracts, bonds, insurances, compliance) * Track invoices, payment certificates, and approval workflows * Monitor payments and support resolution of delays * Assist with invoice reconciliation and subcontract balances **Change Management (Variations)** * Maintain variation registers and track status (submitted, approved, pending, etc.) * Support preparation of variation submissions and backup documentation **Financial \& System Support** * Assist with commitments tracking and PO control * Contribute to invoice tracking, GRNs, and financial reporting **Coordination \& Stakeholder Management** * Liaise with internal teams (Procurement, Finance, Site, Planning, PM) * Support project delivery in line with Mercury standards and processes **Essential Criteria for the Role:** * 2–3 years’ experience in Commercial/Procurement/Project Administration * Strong administrative and organisational background * Advanced Microsoft Office (Excel, Word, Outlook) * ERP systems experience (SAP preferred) * Understanding of commercial/project processes and documentation * Strong attention to detail and organisation * Ability to prioritise and work under pressure * Effective communication and interpersonal skills * High standard of work quality and presentation ***Mercury is an equal opportunities employer*****.** **Commercial Administrator, Madrid** Mercury is the European leader in construction solutions.
