Responsible for planning, organizing, and executing events for different types of clients, from small business meetings to large congresses and conventions. Must ensure constant coordination with other departments, in accordance with the procedures of the Production Department, aiming to provide optimal, high-quality customer service. Their role involves carrying out, supervising, and preparing multiple projects simultaneously, demonstrating a proactive leadership attitude Project management functions * Be the main point of contact for the client during event organization and execution. * Maintain constant communication to ensure client satisfaction throughout all project phases. * Conduct site visits with the client at the event venues. * Identify opportunities to expand services or increase budgets, acting with a commercial focus. Operational functions * Coordinate and supervise event logistics from planning through execution and dismantling. * Manage necessary resources to ensure efficient event delivery (materials, personnel, timelines). * Coordinate with various departments and suppliers the preparation of services such as Audiovisuals, roaming and hotel management, cleaning, maintenance, security, catering, transfers, hostesses, branding, etc. * Momentus: update orders according to client needs (services with VAT, without VAT, intra-community VAT, multiple payers...). * Create an agenda including all services, schedules, and specific details, and send it to all individuals involved in the event (from internal units to company DODs), providing precise instructions for event execution. * Guarantee proper functioning and quality of all contracted services during the event, monitoring their performance in real time. * Coordinate and supervise on-site operations, ensuring efficient and synchronized execution of all event activities and areas. * Analyze the technical project together with the department manager, for subsequent coordination with the Prevention department. * Offer additional services (Upselling), complementing the event with extra services beyond those sold by the Commercial Department. * Observe overall team behavior and detect possible deviations. Supervise document submission and accreditation management. Financial management functions: * Analyze event profitability. * Monitor budget compliance for each event assigned to their responsibility. * Detect budget deviations and inform the client. * Payment control. Control of event payments and potential claims (unpaid invoices). * Commission management (agencies). * Full event invoicing via Momentus. Cost control and Momentus closure. * Event cost control. * Follow-up with Purchasing regarding subsequent payment of services contracted from suppliers and commissions to agencies. * Adhere to the premises included in the contract signed by both parties, regarding contracted services as well as potential cancellations and penalties, continuously informing the client about status and penalty periods.
