### **Job Title** Receptionist / Switchboard Operator (m/f/x) ### **Contract Type** Permanent contract ### **Working Hours** 100% ### **Your Mission** As a support role, the receptionist is responsible for welcoming, informing, and directing clients to the appropriate contact person or department. They also handle administrative tasks specific to their function and within their area of expertise. As a key team member of the institution, they play an important role in representing and conveying the institution’s values. ### **Your Main Responsibilities** * Welcoming clients or users face-to-face. * Acknowledging their request. * Questioning the client to gather essential initial information about their request and expectations. * Informing the client about the organization of their stay. * Distributing various documents. * Entering and verifying all data related to outpatient or inpatient admissions. * Printing and handing over the patient’s admission form. * Collecting advance payments for hospitalizations and issuing receipts. * Answering telephone calls. * Logging incoming calls. * Directing clients. * Transferring calls to the competent or requested person. * Placing calls on hold. * Searching for and selecting information (computerized files, intranet, internet, documentation). * Connecting the client with their designated contact person. * Participating in drafting departmental procedures. * Evaluating administrative actions, services provided, and implementation of procedures against quality, safety, and patient satisfaction standards. * Identifying any deviations from established processes and procedures, and proposing corrective measures. * Organizing the welcome and orientation of new staff members within the institution (in coordination with the reception manager). * Providing theoretical and practical training to new staff members. * Organizing and supervising adaptation and development activities. ### **Your Profile** Qualification: DAP. Minimum four-year successful technical high school education or equivalent. Hotel or tourism-related training is considered an advantage. Professional experience in a sector where client-facing skills are essential. Required language skills: Luxembourgish, French, German, English. Knowledge of any additional language (e.g., Portuguese, Italian, Slavic languages, etc.) is considered an advantage. Proficient use of office software (Word, Excel, SAP R/3, Internet, etc.). Professional and personal criteria: * Professional appearance and communication skills. * Ability to prioritize, manage urgent situations, and cope with stress. * Adaptability to diverse situations and interlocutors. * Strong interpersonal skills combined with discretion and confidentiality. * Sense of responsibility.
