An Administrative Assistant is a professional responsible for performing administrative and support tasks to ensure the orderly and efficient operation of an office. This position is essential in any organization, as it serves as a vital element in ensuring communication, information management, and support to other departments.
**Purpose of the Position**
Supports the department’s technical and administrative activities by assisting with secretarial, organizational, and communication tasks to maintain workflow and contribute to the company’s overall productivity.
**Main Functions and Responsibilities**
An Administrative Assistant’s duties are varied and may be adapted to the size and scope of the company. The most common include:
**Document and Records Management**
Receiving, reviewing, classifying, archiving, and distributing communications and documents in both physical and digital formats.
Scanning documents and maintaining up-to-date corporate databases.
Ensuring the security of confidential information.
**Reception and Communication**
Answering and managing telephone calls, as well as responding to and redirecting emails and correspondence.
Welcoming clients, suppliers, and visitors, often serving as the company’s point of contact.
Logistical Support and Organization
Organizing meetings, scheduling appointments, reserving meeting rooms, and preparing required materials.
Coordinating managers’ or team members’ schedules as needed.
Purchasing and managing office supplies.
Administrative and Technical Tasks
Compiling and preparing reports, business correspondence, and other documents using word processors and spreadsheets.
Operating office equipment such as photocopiers, printers, and fax machines.
Entering and processing data into computer systems and databases.
Performing banking transactions or interacting with government agencies as assigned by management.
Requirements and Education
Education
Minimum: High school diploma or equivalent general education.
Preferred: Vocational training in administration and management (e.g., Administrative Management Technician). Training as an administrative assistant or secretary.
Work Experience
Prior experience in a similar role (1\-2 years) is preferred. Generally not required for entry-level positions.
Technical Knowledge (Mandatory)
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and email.
Knowledge of records archiving and document management technologies.
