We are a growing company dedicated to the **education, leisure, and free-time** sectors, and we are seeking to incorporate an **Administrative Assistant** into our team at our ***Málaga*** office.
We are looking for a person with administrative experience, who is **highly organized, methodical, and solution-oriented**, with exceptional ease in using computer tools and capable of autonomously managing multiple processes and deadlines.
The position will initially entail a **20-hour weekly schedule during morning hours**, with potential for schedule expansion as the company continues to grow.
What will be your mission?
You will serve as a key reference for various administrative processes at the office, handling recurring tasks and their follow-up to support the coordination teams and Management.
You will work closely with different departments across the company, especially in processes related to **personnel, invoicing, collections, and document management**.
Therefore, we seek someone who does not merely execute isolated tasks: we need a person capable of **taking ownership of their processes, monitoring deadlines, and seeing them through to completion**.
Main Responsibilities
Personnel Administration
* Administrative management of **hiring and termination of employees**.
* Management and sourcing of **temporary replacements**, as needed.
* Creation and updating of administrative profiles for new hires.
* Assignment and follow-up of **work schedules and calendars**.
* Review, control, and validation of **timesheets and clock-in/clock-out records**.
* Coordination with the Human Resources department to monitor these processes.
Invoicing, Collections, and Overdue Payments
* Preparation and management of the **monthly invoicing for the office**, coordinated with the responsible department.
* Administrative follow-up of the various services provided.
* Management of the **returns and overdue payments process**, tracking each case until resolution.
* Coordination with personnel responsible for invoicing and collections to ensure compliance with established procedures and deadlines.
Document and Administrative Management
* Submission, updating, and follow-up of **documentation on various management platforms and portals**.
* Verification that required documentation is correctly submitted and up to date.
* Preparation and updating of **recurring lists, controls, and reports**.
* Administrative management of centers and services assigned to the office, including those located outside Málaga, where applicable.
* Support in other administrative tasks requested by Management.

* Ability to manage tasks subject to **specific dates and deadlines**, such as personnel or invoicing processes.
* Capacity to work autonomously and track tasks without constant supervision.
* A solution-oriented profile and ability to respond effectively to incidents.
* Ability to manage a **high workload** and multiple concurrent processes.
* Ease working in teams and coordinating across departments.
* Strong communication skills and interpersonal aptitude.
