With workshops in the UK, Europe, the US, and the Middle East, AGSE Global Services continues its global expansion to deliver enhanced service to its aerospace customers worldwide. **Brief job description** We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to work at our new workshop in Madrid, Spain. The ideal candidate will provide administrative support to ensure the office operates efficiently and assist with a variety of administrative tasks—including scheduling, ordering parts, coordinating appointments, handling correspondence, and supporting other departments as required. **Key responsibilities** * Assist in preparing customer order quotations based on technical specialist surveys * Assist in ordering spare parts and components required for technicians to perform work * Enter and update data in company databases, ensuring accuracy and integrity * Assist customers by directing them to the appropriate employee or department * Maintain an inventory of office supplies and ensure the office has sufficient supplies * Ensure the office’s daily smooth operation—including maintaining office equipment and coordinating repair work * Provide assistance in organizing and maintaining paper and electronic document storage systems * Act as the point of contact for visitors and customers, providing a welcoming and professional environment * Help complete special projects and tasks, contributing to team goals and departmental success * Other tasks/duties may be assigned as necessary **What we look for in our candidates** * Excellent written and verbal communication skills * Proven experience as an Administrative Assistant or in other administrative roles (preferably 1–3 years) * Proficient use of Microsoft Office suite (Word, Excel, PowerPoint, Outlook) * Excellent written and verbal communication skills * Ability to work independently and collaboratively in a team * Highly detail-oriented * Reliable and punctual * Fluency in English is essential; ability to read, write, and understand oral and written instructions in English is required * Valid work permit for Spain is required **Why work at AGSE Global Services?** We are people.
