We are currently seeking to incorporate an **HR and Document Management Administrator** into our Human Resources team at our Seville offices — a professional with a strong vocation for organization and attention to detail. This position is essential to ensure proper document management, access control, and coordination of Occupational Risk Prevention (ORP), using sector-specific platforms tailored to the energy and industrial industries. **Key Responsibilities:**
As an HR and Document Management Administrator, your responsibilities will include:
* **Management of Corporate Coordination Platforms (CAE):** You will be responsible for uploading, updating, and conducting thorough follow-up of employment and Occupational Risk Prevention documentation on leading sector platforms such as Nalanda, e\-Seises, CTAIMA, or similar. This entails ensuring all information remains current and complies with applicable regulations.
* **Employment Documentation Control:** You will carry out continuous review and updating of essential employee documentation, including medical fitness certificates, records of Personal Protective Equipment (PPE) delivery, mandatory training certifications, and any other relevant documents required to ensure regulatory compliance and worker safety.
* **Training Follow-up:** You will coordinate and monitor mandatory occupational risk prevention trainings and other competencies required to perform duties across our projects, ensuring all employees and collaborators meet the required training standards.
* **Access and Database Management:** You will manage access control to facilities and systems, ensuring only authorized personnel hold the necessary permissions. You will maintain up-to-date personnel databases, guaranteeing data accuracy and confidentiality.
* **HR Department Support:** You will provide general administrative support to the HR department across various tasks, including file management, preparation of internal communications, assistance in recruitment and onboarding processes, and resolution of basic inquiries regarding company policies and procedures.
* **Interdepartmental Coordination:** You will closely collaborate with other departments — especially Occupational Risk Prevention and Operations — to ensure smooth communication and correct implementation of policies and procedures.
* **Record Maintenance:** You will ensure proper archiving and maintenance of all physical and digital documentation related to HR, ORP, and document management, guaranteeing easy location and accessibility whenever needed.
* **Regulatory Compliance:** You will stay updated on applicable labor and occupational risk prevention legislation within the sector, ensuring all administrative activities and documentation comply with legal and company requirements.
REQUIREMENTS
**What Are We Looking For?**
* **Education:** Minimum Higher Vocational Training Degree (Grado Superior) in Administration, Human Resources, or equivalent.
* **Experience:** Minimum 2 years of demonstrable experience in administrative roles, preferably involving HR and/or document management functions.
* **Prior experience** in the renewable energy, construction, or industrial sectors.
* **Knowledge:** Demonstrable experience handling Corporate Activity Coordination (CAE) platforms such as Nalanda, e\-Seises, CTAIMA, or similar. Solid proficiency in office software (Microsoft Office, especially Excel at intermediate/advanced level).
* **Skills:** Excellent organizational ability, meticulous attention to detail, proactivity, and autonomy. Ability to manage multiple tasks simultaneously and meet established deadlines. Outstanding communication skills and capacity to work effectively in a team.
* **Languages:** English level B2.
