Continuous training and professional development opportunities We aim to hire an **Administrative Assistant** position **to support the operational management of our housing maintenance**, ensuring functionality, habitability, and sustainability, aligned with our rights-based approach and mission to eradicate homelessness. Main Responsibilities * Support comprehensive technical maintenance tasks to ensure proper functioning and habitability of housing units included in the program. * Auxiliary tasks in preventive and corrective housing maintenance management, including planning, physical inspections, organizing corrective actions, and reporting. * Auxiliary tasks in managing invoices, housing- and property-related documentation, expense justifications, insurance policies, and other related documents. * Support in preparing periodic reports on the status of housing units. * Support in procurement and material resource management (e.g., requesting quotations, ordering materials, and controlling stock required for operations), including support in documentary and financial management. * Auxiliary administrative tasks, including recording repairs and incidents, monitoring utility consumption, and archiving contracts, insurance policies, and technical certificates. * Auxiliary tasks in managing relationships with property owners to coordinate incidents, rents, and payments. * Support in monitoring and coordinating with the Municipal Housing and Land Company’s maintenance service. * Auxiliary management tasks involving external agents and service providers, including coordination of repairs, claims, and supplies with companies, insurers, suppliers, property owners, and neighborhood associations—also including supervision of works. * Support in direct response to urgent maintenance issues and management of serious incidents. What We Are Looking For * Secondary vocational education or equivalent, complemented by professional experience or qualifications necessary to perform the duties. * Minimum one year of experience in infrastructure, housing, or operations management (experience in the Third Sector or social entities will be highly valued). * Planning, organizational, and incident-resolution capabilities. * Teamwork and interdepartmental communication skills. * Social sensitivity and commitment to human rights and inclusion. * Experience using digital real estate tools will be considered an asset. * Any other duties necessary to ensure fulfillment of the functional areas defined in this description.
