What we seek
We are looking for an administrative assistant for real estate developments who is organized, responsible, and proactive, to join our administrative team for real estate developments. Their mission will be to support the administrative management of projects, coordinate documentation, monitor deadlines, and collaborate in the implementation of new working systems. We especially value candidates with strong organizational skills, ability to learn quickly, proficiency in computer tools, and enthusiasm for contributing to a long-term project.

The position is on-site in Cabrils, with an expected start date in September.
The selected candidate will join the developer’s administrative team and provide direct support to Management in the comprehensive administration of real estate developments. Their main responsibilities will be:
1. Development Administration
Maintain up-to-date administrative files for each development.
Archive and classify physical and digital documentation.
Monitor reservation contracts, purchase-sale agreements, annexes, and other contractual documentation.
Prepare documentation for notarial signatures.
2. Administrative Follow-up
Monitor deadlines for each file.
Track clients, suppliers, and collaborators.
Coordinate with notaries, registries, architects, town halls, and accounting firms.
Follow administrative procedures through to completion.
3. Document Management
Organize corporate documentation according to internal procedures.
Keep document platforms updated (OneDrive, SharePoint, and others).
Ensure information is easily retrievable, complete, and correctly classified.
4. Internal Organization
Update Planner and other tracking tools.
Prepare administrative reports and control lists.
Support coordination of developments.
5. Administrative Support
Respond to telephone and email inquiries.
Prepare documentation for accounting, treasury, and management.
Collaborate with other team members on daily administrative tasks.
6. Continuous Improvement
Participate in process digitalization.
Use Microsoft 365 and artificial intelligence tools to improve efficiency.
Propose improvements to administrative procedures.
* Experience: 2 years.
Minimum two years’ experience in administrative tasks. Experience in real estate development, construction, consulting firms, accounting firms, notaries, or corporate administration will be especially valued. Autonomy in document management, proficiency in Microsoft Office (especially Excel and Outlook), strong organizational skills, and the ability to manage multiple files simultaneously are required.
* Higher Vocational Training Certificate (FP de Grau Superior)
* Competencies / Knowledge: Higher Vocational Training Cycle in Administration and Finance, or equivalent. Also valued: Business Administration and Management (ADE), Business Studies, Administrative Management, Law, or training related to the real estate sector.
* Temporary employment contract (6 months)
* Part-time morning schedule (4 hours per day)
* Gross monthly salary: 1250
