Position Description and Responsibilities** We are seeking an **organized and proactive Office Secretary** to ensure the smooth operation of our Barcelona office and support our staff through efficient coordination of international travel for projects around the world. You will ensure that our team (35 on-site and 25 remote staff) can focus on their work within a well-organized, welcoming, and efficient office environment. **Main Responsibilities:** * **General Office Management**: Maintain daily operations; manage supplies, equipment, furniture, and meeting rooms; coordinate with cleaning, maintenance, and repair service providers. * **Reception Duties**: Manage front desk operations, telephone calls, visitor coordination, and courier services. * **Travel Coordination**: Organize international travel, including flights, accommodation, visas, insurance, vaccinations, equipment, travel funds, and security protocols. Ensure seamless logistics for business trips and expense reimbursements. * **Administrative Support**: Support management and internal teams in events (attendance or organization), off-site meetings and appointments, physical and digital document filing and organization, and cross-functional administrative tasks (HR, Finance, Marketing). **3. Candidate Profile** The ideal candidate must possess the following competencies: * Professional education in administration, finance and/or executive assistance * Prior experience in a similar professional setting * Strong communication skills in Catalan, Spanish, and English (additional languages are valued) * Proficiency in Word, Excel, PowerPoint, and email applications * High organizational ability and attention to detail * Proactive attitude, problem-solving capability, and ability to multitask * Team-oriented mindset with a professional demeanor * Ability to work autonomously and collaboratively **4.
