Coordinating external work teams and resolving operational conflicts **Facility Coordinator** ------------------------ We are Europe’s fastest\-growing non\-food discounter, operating a rapidly expanding logistics network with 16 Distribution Centres across NL, FR, DE, PL, ES, IT and SK. In June 2025, we opened our first DC in Spain (Illescas, Toledo) to further support our growth in the Iberian market. Action is now moving to the next level by opening a new insourced Distribution Centre in Banyeres del Penedès, Tarragona. **Your mission** ---------------- The Facility Coordinator is part of the Facility Management department and reports directly to the DC Manager with a dotted line to Regional Facility Manager. The primary focus is to ensure that employees and visitors have the right facilities at their disposal in good to be able to carry out their own work. Ensuring the execution of the Distribution Center in accordance with the facility's policy and relevant laws and regulations. **Key accountabilities and areas of responsibility** ---------------------------------------------------- Operational Management * Allocating work based on staffing and job offers and ensuring correct and timely execution of the work with the aim of delivering the highest possible quality of service at the lowest possible cost * Ensuring the handling and/or referral of questions, incidents and complaints and, where necessary, seeking expertise from outside the department. * Guarantee the economic management of the project lifecycle. This includes validating the accuracy of proposals and quotations, controlling costs during execution, and ensuring a comprehensive financial closure of all works/projects. * Manage robust communication channels with internal and external stakeholders. Act as the focal point for authorities' demands, ensuring internal teams execute necessary actions to meet regulatory requirements. Reporting/Monitoring * Supervising the execution of work and identifying deviations from the department’s objectives and, if necessary, starting initiatives to prevent deviations in consultation with managers. * Monitoring and analyzing the existing (departmental) processes, identifying (structural) disruptions and problems, as well as proposing and contributing to implement improvement and mitigation proposals. * Drive the performance of subcontractors by strictly monitoring KPIs and SLAs. Ensure seamless coordination of external workforce by validating Legal compliance and conducting Risk Assessments in direct collaboration with the EHS department. * Oversee the recording and validation of essential data within designated Public Administration systems, ensuring full compliance with legal and administrative requirements. * Serve as the designated representative and focal point for Local Authorities, managing all external inquiries, inspections, and regulatory demands. * Drive the internal reporting cycle by tracking departmental progress. Deliver comprehensive status updates on interim results and final deliverables to ensure alignment with organizational goals. Leadership * Exercise influence and leadership to coordinate distinct external work teams, ensuring they operate as a cohesive unit aligned with internal project goals. * Act as the primary mediator for operational conflicts involving external partners, leveraging negotiation skills to resolve bottlenecks and ensure high levels of service delivery and engagement from third\-party vendors. **Competences** --------------- * Results\-oriented * Strong communication skills * Stakeholder management skills * Planning and Organizing * Proactivity * Problem solving * Autonomous * Attention to detail **What we are looking for** --------------------------- * A Bachelor’s Degree in Engineering or a related technical discipline. * At least 3\-4 years of relevant working experience in a similar job, preferably in a logistics or industrial environment * Fluent in English and Spanish, Catalan is highly valued. * Flexibility regarding working hours, particularly in the event of critical operational incidents or emergencies.
