We’re expanding and developing innovative service models. This is an exciting opportunity to join a small but ambitious business at a pivotal growth stage. **The Role** We’re looking for a sharp, self\-motivated Operations Coordinator to become the operational heartbeat of the business. Based in Spain and working 9\-6, you’ll take ownership of the day\-to\-day running of operations — from answering customer calls and scheduling engineers, to invoicing, social media, and driving revenue through our subscription service. If you thrive on variety, take pride in getting things done properly, and love the buzz of keeping a fast\-paced business firing on all cylinders — this is your role. **Key Responsibilities** **Customer \& Call Management** * Answer inbound customer calls professionally and warmly — you’re the voice of the business * Book in engineers for service visits, repairs, and installations using SimPro * Handle customer enquiries, provide quotes, and follow up on outstanding jobs * Manage customer communications (calls, emails, SMS) with a focus on exceptional service * Proactively follow up after completed jobs to ensure customer satisfaction and request reviews * Call overdue services to book in **Engineer Coordination \& Quality Control** * Schedule and dispatch engineers efficiently, optimising routes and minimising downtime * Chase engineers for completed job notes, photos, and paperwork — no exceptions * Ensure all jobs are properly documented before invoicing * Monitor engineer utilisation rates and flag underperformance to the Director * Coordinate materials ordering with UK\-based parts suppliers **Financial \& Administrative** * Raise and send invoices promptly upon job completion * Chase outstanding payments and manage debtor follow\-ups * Prepare and send professional quotes to customers * Maintain accurate customer records and job histories * Handle general business administration to keep operations running smoothly **Revenue Growth \& Upselling** * Actively promote and upsell subscription service plans during every customer interaction * Convert existing annual service customers into monthly subscribers * Identify upsell and cross\-sell opportunities from engineer job notes (e.g., ageing boilers, additional work needed) * Follow up on lapsed customers and re\-engage them with the business * Support the development of letting agent and landlord partnerships **Marketing \& Social Media** * Transform engineer job notes and photos into engaging social media content * Post consistently across company social media channels (Facebook, Instagram, Google Business) * Assist with customer review acquisition and management * Support website content updates and local SEO efforts as directed **What We’re Looking For** We don’t need a CV full of heating industry experience — we need someone exceptional.
