**JOB SUMMARY**
A training internship focused on learning operational administrative support functions under the supervision of the Senior Director of Corporate Affairs in Spain. The intern will gain practical experience through calendar management, expense processing, meeting coordination, and general administrative support. This is a learning opportunity within a corporate environment for students pursuing studies in executive assistance, secretarial science, or equivalent disciplines, with an organized profile, attention to detail, and proficiency in office and AI-powered productivity tools.
**KEY RESPONSIBILITIES AND FUNCTIONS**
**INDIVIDUAL**
* Manage and coordinate the Director’s calendar, including scheduling internal and external meetings, optimizing time planning, and resolving calendar conflicts.
* Process expense reports, travel bookings, and reimbursements in accordance with internal policies and tools.
* Prepare, format, and organize documents, presentations, and meeting materials using Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and AI-powered productivity tools.
* Maintain departmental files, contact lists, and shared repositories, ensuring information is accessible, up-to-date, and properly archived.
* Provide first-level administrative support for visits, events, and interactions with external stakeholders managed by Corporate Affairs.
**SHARED**
* Coordinate logistics for internal and cross-functional meetings led by Corporate Affairs, including agenda preparation, minutes drafting, and action item follow-up.
* Liaise with other administrative teams within the affiliate (HR, Finance, Facilities) to ensure correct execution of departmental processes.
* Support the Director in routine internal communications, drafting standard correspondence and tracking pending matters.
**MINIMUM REQUIREMENTS – EXPERIENCE, EDUCATION, COMPETENCIES AND CERTIFICATIONS**
Education: Currently enrolled undergraduate student, vocational training student, or postgraduate student in Executive Assistance, Administration and Management, or equivalent disciplines; or student in a Higher Vocational Training Program in Administration and Finance or Executive Assistance.
Availability: Immediate, approximate working hours from 9 a.m. to 5 p.m.
Advanced (C1\) level of English — sufficient to handle basic written correspondence and coordinate meetings with international stakeholders.
Ability to sign a 12-month internship agreement with the academic institution.
Strong organizational skills, attention to detail, and ability to manage multiple priorities in a corporate environment. Discretion in handling confidential information is essential.
