Description
The position focuses on the comprehensive administrative management of external procurement and logistics processes. Key responsibilities include creating and maintaining up-to-date purchase orders within the SAP system, ensuring accuracy and traceability of all information. Cost analyses and data management will be conducted using advanced tools such as Excel—specifically pivot tables—to support decision-making. Another key responsibility is the correct assignment of cost centers to invoices, as well as tracking and controlling approved invoices for subsequent accounting, ensuring compliance with financial procedures.
The professional will act as the direct point of contact with suppliers, managing communication and executing necessary processes for the qualification of new suppliers. Additionally, they will maintain direct contact with maintenance bases to monitor the progress of logistics and procurement projects. They will be responsible for managing and processing contracts using specialized platforms such as DocuSign, ensuring all documents are properly signed and archived.
Finally, an essential part of the role involves updating and maintaining guidelines, procedures, and all shared documentation on the corporate network for internal team reference. This also includes drafting and receiving letters for customs clearance, managing signatures, and providing general administrative support to the entire department, thereby contributing to operational efficiency and smooth workflow.
The offered salary is €22,000 per year. Working hours are flexible, allowing arrival between 7:30 and 9:00 a.m. and departure between 4:30 and 6:00 p.m. The initial contract duration is 6 months, with the possibility of immediate start.
A Medium or Higher Vocational Training qualification is required, preferably in the Administrative field. Prior hands-on experience with purchase orders in SAP’s Procurement module is essential, along with demonstrated advanced proficiency in SAP and the Microsoft Office suite—especially advanced Excel. Additionally, the ability to quickly adapt to new software applications will be considered a strong asset.
