As an Administrative and Maintenance Technician, you will provide cross-functional administrative and operational support to **Sushi Take**, contributing to the smooth functioning of its business activities. The position will involve direct interaction with various internal departments, local suppliers, service companies, external collaborators, and other stakeholders, coordinating and tracking diverse needs arising across the brand’s establishments and booths. Key Responsibilities * **General administrative support:** Handle daily administrative tasks, including answering telephone calls, managing emails and correspondence, and maintaining an organized and easily accessible workspace and information system. * **Management and maintenance of establishment equipment:** Ensure proper operation of equipment across all establishments, coordinating maintenance and repair of malfunctions in the various markets where the company operates. * **Document management:** Prepare, edit, and format documents, reports, and presentations. Maintain and organize both electronic and physical filing systems. * **Communication and customer service:** Serve as the first point of contact for customers, suppliers, and visitors. Provide information and respond to inquiries professionally and promptly. * **Data management and updating:** Enter and maintain information in spreadsheets, databases, and internal systems, ensuring data accuracy and confidentiality. Record and track interventions related to equipment and device maintenance, repair, or replacement at establishments. * **Inventory and supplies management:** Monitor and place orders for office supplies; identify new suppliers and opportunities to improve purchasing conditions. Keep inventory records up to date. * **Complaint handling:** Manage customer complaints in accordance with the company’s established guidelines and procedures. * **Financial support:** Track, review, and categorize invoices and manage expense reports efficiently and accurately, ensuring timely submission. * **Project support:** Assist in cross-departmental projects and collaborations, contributing to meeting deadlines and enabling effective communication among involved teams. * **Procurement support:** Support the Procurement department regarding devices and equipment used in establishments, including tracking requirements, orders, suppliers, and replacements. * **Local regulations and requirements:** Research and keep updated on relevant local policies, regulations, and requirements applicable to the company’s operations. * **Executive support:** Collaborate with managers and department heads in handling administrative and operational requests, queries, and needs. Requirements and Profile * **Experience:** Minimum 2\-3 years of experience in administrative roles, preferably within an international corporate environment. * **Education:** High school diploma or equivalent. A **Higher Vocational Training (FP) degree** or higher education in Administration and Management is highly valued. * **Knowledge:** Familiarity with administrative and office management systems, tools, and procedures. * **Office software:** Proficiency in the **Microsoft Office** suite, especially **Excel**. * **Competencies:** People-oriented individual with analytical ability, data orientation, proactivity, strong organizational skills, and problem-solving aptitude. * **Languages:** **Fluent English**, both spoken and written, is mandatory. Knowledge of other languages—particularly **Finnish, Italian, or Norwegian**—is a plus.
