The Administrative Assistant position involves providing comprehensive support to daily office operations. Responsibilities include handling telephone calls—professionally managing both incoming and outgoing calls—as well as preparing, reviewing, and controlling delivery notes to ensure accuracy in records of goods entering and leaving the premises. Additionally, the role entails managing basic administrative documentation, organizing files, maintaining up-to-date records, and ensuring the proper internal flow of information. A key component of the role is invoicing, which involves generating, sending, and tracking invoices to clients, coordinating with the relevant department to resolve any discrepancies. Support is also provided for registration and control tasks, assisting in monitoring inventories, deadlines, and other operational indicators to maintain organizational efficiency. The use of specialized software such as Milena is essential for performing these tasks, requiring familiarity with enterprise management systems. This role demands a meticulous and proactive individual capable of handling multiple tasks in a dynamic environment, prioritizing customer service and accuracy across all processes. The Administrative Assistant’s contribution is vital to the smooth functioning of the team, ensuring administrative operations proceed without disruption and in compliance with established standards. Working hours are Monday through Friday, from 8:00 to 17:00, offering a continuous schedule that enables effective work-life balance. The ideal candidate must be organized, responsible, possess strong customer service skills, own a personal vehicle, and reside near the workplace to facilitate mobility.
