Join Diamond Foundry as our Office Coordinator, where you will be the main point of contact and responsible for the daily operations of our office. In this key role, you will act as an ambassador for our team members, candidates, partners, and guests, ensuring our workplace is functional, efficient, well-organized, while maintaining our company culture. You will thrive in our dynamic environment by taking initiative and solving complex problems. You will also contribute to various projects, including managing sensitive matters. As we grow rapidly, you will need to wear multiple hats to ensure everything runs smoothly. **This position is a temporary contract covering maternity leave**### **Responsibilities** * Be stationed at the office reception, acting as the first point of contact for employees, visitors, and vendors. Answer phone calls directed to the site. * Coordinate and receive visits, attend to any arising needs during visits, schedule appointments and meeting rooms, manage access control, and oversee NDA signings. * Ensure proper condition and operation of office facilities (monitor supplies, manage vendors, conduct organization and cleanliness audits, handle external personnel access, coordinate travel arrangements). * Coordinate employee onboarding and offboarding processes with relevant departments. * Foster a positive and inclusive environment by organizing internal/external events, team building activities, and community service initiatives. ### **Requirements** * Higher education in administration, tourism, executive assistance, or related field. * At least three years of experience in a similar role with comparable responsibilities. * Excellent communication and verbal/written expression skills, with a minimum English level of B2. * Proactive, creative, autonomous, and dynamic individual with strong attention to detail. Demonstrated ability to organize, prioritize, and manage multiple tasks under tight deadlines. * Proficient in office software (both Microsoft Office and Google Workspace).
