Executive Assistant

**We are looking for an** Executive Assistant **to join our team in** Pamplona. **If you enjoy being the key point that connects, organizes, and facilitates, this role is for you** What will your mission be? **Ensure administrative and organizational support to the CEO and management team within a multinational environment, facilitating efficiency in time management, coordination of strategic activities, and preparation of documentation.** What are we looking for? * **University degree in Business Administration, Executive Secretariat, Translation/Interpretation, or similar.** * At least 3–5 years **of experience as an Executive Assistant, Office Manager, or similar roles in multinational environments.** * **Experience in direct interaction with senior management and office management.** * **Courses in agenda management and executive protocol.** * **Training in project management or collaborative tools is desirable** * **Languages: Native Spanish, English C1: mandatory, Italian nice\-to\-have** What challenges and tasks might you encounter in this position? * **Management and coordination of agendas, meetings, and travel.** * **Preparation of minutes from committees and meetings, presentations, reports, and corporate documentation.** * **Channeling internal and external communications on behalf of management.** * **Organization of committee meetings, including scheduling, minutes, and follow-up of agreements** * **Support in expense processes, invoicing, and reporting.** * **Management of databases, documentation, and archiving.** * **Office Management \& Support (Pamplona)** * **Report in real time any type of relevant information within the scope of daily work (progress made, incidents, doubts, workload level, completion of assigned tasks, etc.).** * **Ensure confidentiality of strategic and sensitive information.** * **Comply with policies, rules, codes of conduct, and procedures in effect at any given time within the company.** What do we offer? * **Contract type: Full-time permanent contract.** * **Location: Preferably Pamplona or anywhere in Spain.** * **Work mode: Hybrid.** * **Participation in an innovative project, where you can contribute your talent in an autonomous and dynamic way** * **Salary: Flexible depending on candidate's experience.** **If you've read this far, you know what to do!** Apply now Now that I've applied, what's next? **1️⃣ Application screening \- We will review your profile.** **2️⃣ Phone Screening \- If you pass the first filter, we'll have a brief call to gather additional basic information or clarify background details.** **3️⃣ Interviews: Talent Interview \- To get to know you better.
