Product controller, Purchasing Administrator
Main responsibilities
* **Manage the product throughout its entire lifecycle**, from its launch at the factory to its receipt in the warehouse, replenishment, markdown, or liquidation.
* Lead order management and control from launch to receipt, tracking deadlines, delays, changes, incidents, and confirmations with suppliers.
* Ensure all information related to products, orders, incoming shipments, and receipts is accurately updated in operational tools.
* Coordinate with the **warehouse** to plan scheduled arrivals, box openings, stock counts, stock receipts, and operational incidents.
* Guarantee that orders and receipts are correctly reflected in the system to prevent stock errors, discrepancies, or availability issues.
* Supervise **inventory** and stock control by SKU, size, color, location, and business line.
* Manage **stock movement across different business lines**, ensuring efficient distribution based on commercial needs, turnover, and availability.
* Anticipate and prevent **stockouts**, identifying risks early and coordinating actions with involved teams.
* Analyze **product sales velocity** to determine when an SKU should change status: from new arrival to continuity, from continuity to markdown, or from active product to replenishment.
* Manage **product status changes** within the system, ensuring each SKU is correctly classified according to its commercial stage.
* Identify stock incidents, discrepancies, missing information, or registration errors, and follow up until resolution.
* Coordinate replenishments, transfers, and operational needs arising from sales, turnover, or availability.
* Act as the liaison point between **Product, Warehouse, Marketing, Retail, Finance, and Administration**, ensuring accurate information flow.
* Maintain updated calendars for collections, drops, arrivals, and recurring area tasks.
* Create, review, and optimize operational documentation, processes, checklists, and tracking databases in **Notion**.
* Manage product and order data in **AGORA**, including item creation, purchase order tracking, receipts, and rigorous record updates.
* Conduct sales, turnover, and stock analyses to detect replenishment needs, stockout risk, excess inventory, or product status changes.
* Use **Excel, Notion, and AI tools** to organize information, review data, structure processes, and accelerate area tasks.
* Propose improvements to processes, information flows, reporting, and operational control.
* Ensure stock and product data reliability as the foundation for commercial and operational decision-making.
Requirements
* Minimum 4 years of experience in a similar role within an SME.
* Solid experience in **supplier management**, **stock control**, and **order tracking**.
* Judgment to identify **priorities, urgencies**, and operational risks without losing control.
* **Advanced level of Excel.**
* Ability to **interpret data, margins, and product sales velocity**, and their impact on stockouts, replenishment, continuity, and markdowns.
* Comfort working with **SKUs, sizes, colors, locations, and business lines.**
* **Advanced level of English**
* High degree of **organization, rigor, traceability, and attention to detail**, to keep information updated, structured, and accurately recorded.
* Ability to work with **orders, timelines, incidents, and receipts**.
* Ability to coordinate and communicate fluently with other people and departments.
* Practical, autonomous, execution-oriented profile **capable of handling multiple parallel priorities without losing focus.**
