Here you will find a space to **design your future and transform that of everyone**. **JOB DESCRIPTION** We are seeking an Administrative Assistant to join Ormazabal’s Service Unit, tasked with ensuring the end customer receives an optimal response to their service and technical support needs—by driving document management for services, optimizing such processes, and supporting field technicians in obtaining site access permits and addressing service-related logistical aspects. **RESPONSIBILITIES:** **Preparation of Site Access Documentation** * Analyze safety plans and identify requirements * Define required site access documentation (safety, technical, health, fiscal, local country) * Prepare and submit documentation as attachments to a service document or upload them onto clients’, developers’, or safety coordination companies’ document management platforms * Prepare documents for services coordinated with other Ormazabal companies or external companies * Participate in coordination meetings with clients or other stakeholders **Management of Invitation Letters and Visas** * Request required templates from clients / distributors / subsidiaries * Coordinate with consulates or embassies **Database Maintenance** * Maintain database with latest revisions of documents in languages required by the client * Upload new instructions required for new interventions into the system * Inform the service team of new revisions or instructions **Maintenance of Certificates and Team Qualification Databases** * Maintain up-to-date certificates in languages required by the client * Notify the team of certificate expiry dates * Manage necessary refresher courses, optimizing costs and required timeframes, and coordinating them with committed services **Logistical Support for Travel** * Support the team in updating travel arrangements during urgent service cases * Track shipment of materials or tools required to support services performed by the team **REQUIREMENTS:** **Education:** Vocational Training (FP): Medium or Higher Level Vocational Training Cycle in Administrative Management **Experience:** Minimum 5 years in roles similar to those described above **Required Knowledge:** * Microsoft Office Suite (advanced level) * SAP **Languages:** * Minimum English proficiency level B2 required * Knowledge of additional languages is valued **Required Competencies:** * Initiative – Proactivity * Organization * Flexibility * Teamwork Inclusion, equity, and non-discrimination are fundamental pillars of our culture.
