Administrative Trainee

Company
Description
The professional will play a key role in the operational and administrative management of the training area, working independently while coordinating with team members. Key responsibilities include organizing and structuring documents in shared repositories, ensuring all information is accessible and up-to-date for the team. Additionally, the role involves generating documentation required for internal processes such as procurement, ensuring compliance with established procedures. The professional will also handle standard and recurring inquiries related to training services, acting as the first point of contact for operational clarifications. Another key function is the initial review and analysis of documents—including proposals, purchase orders, and invoices—prior to uploading them into the GPS system, requiring meticulous attention to detail. Coordination with external suppliers and internal BBVA stakeholders will be essential to ensure seamless delivery of training services. Furthermore, the professional will conduct first-level monitoring of billing files, cross-checking delivered services to support the administrative management of the learning team. Finally, cost monitoring will be performed by comparing actual expenditures against budgeted estimates, analyzing potential duplications, and classifying each action and invoice for periodic and precise expense control. This position includes an attractive compensation package comprising a variable salary and life insurance, along with a stock purchase plan. The company offers a flexible remuneration program allowing employees to exchange part of their gross annual salary for non-cash benefits. Employees receive 24 working days of annual vacation, plus their birthday and an additional day at Christmas, as well as work-life balance measures such as flexible working hours. Key benefits include private medical insurance with dental coverage after one year of service, family discounts via the employee club, and a childcare allowance. Additionally, an annual training plan, access to an online learning platform, and the opportunity to enroll in an English language training program are provided. A minimum of one year’s experience in administrative roles is required, preferably related to training, procurement, supplier management, or document management. The ideal candidate is organized, rigorous, and detail-oriented, capable of working autonomously and managing multiple tasks simultaneously. Proactivity, dynamism, and strong communication and interpersonal skills are essential for effective interaction with suppliers and diverse stakeholders. Proficiency in office tools—particularly Excel—is highly valued, as are problem-solving skills, technical report writing, record management, and data analysis.
