Mission: Maximize profitability across all hotel areas through planning and coordination of group business and contracting and organizing hotel events, directly supporting the meeting planner or client while consistently exceeding customer expectations in quality and service standards. Primary Responsibility: From contract signing onward, serve as the sole point of contact responsible for the group, acting as liaison between the group and the hotel. Prepare quotations for all social event and meeting requests received by the hotel—regardless of origin—with fewer than 10 rooms, always aiming to maximize revenue from F\&B, meeting spaces, and other hotel services. Upon confirmation of these services, prepare the corresponding service agreement. Ensure coordination of all operational details for groups and events by effectively communicating required features and services to all involved departments to guarantee successful execution. Prepare group summaries and F\&B service orders, distributing them at least 7 days prior to group arrival or event date. Receive the group file from the Group Sales Coordinator, reviewing the contract, itinerary, and reserved meeting spaces (if any). Conduct a joint call with the client to introduce yourself as the new point of contact during planning and the group’s stay, confirming contracted services. Send a follow-up email with your personal contact details. Anticipate client needs to initiate up-selling of F\&B and other services, maximizing sales and profitability. Track deposits and payments according to contractual deadlines, updating pro-forma invoices and sending them to the client when necessary. Resolve any issues arising with the group or event, followed by appropriate post-event client follow-up. Close group/event files with all received information. Share guest feedback regarding the event or group with all relevant hotel departments. During the group’s stay, remain present at the hotel, maintaining continuous contact with the client, supporting operations, and ensuring everything proceeds as planned. Review group/event billing to ensure accuracy. Attend daily F\&B service order meetings and group summary meetings alongside all departments involved in operations. Plan and execute the pre-convention meeting (pre-con) to establish direct contact between department heads and the meeting planner. Conduct post-event client follow-up, including an interview to evaluate satisfaction with program execution and identify future business opportunities. Within three days after the group’s departure, send a thank-you email to the meeting planner and/or end client for choosing the hotel and extend an invitation to return soon. Welcome the client (meeting planner), establishing a personal relationship with the hotel. When requested by the Groups \& Events Manager, participate in site inspections, supporting the groups/sales department—particularly for visits requiring in-depth technical knowledge and understanding of hotel infrastructure. What Are We Looking For? Degree in Tourism, Hospitality, Marketing, or related field. Advanced English proficiency is mandatory; a second language is highly valued. Minimum 2 years’ experience in a similar role within a comparable-category property, preferably in MICE. Familiarity with hotel management systems and/or Customer Experience tools.
