Description
The main responsibility is to ensure day-to-day administrative and support operations in a corporate environment. This includes managing building access control—such as creating credentials and professionally receiving visitors—as well as handling the telephone switchboard by routing calls to the appropriate departments, and coordinating interactions with suppliers and receipt of deliveries.
This position involves providing direct support to a team of approximately two hundred employees, addressing their needs and managing unforeseen issues. Administrative tasks include purchase order management, order tracking, and coordination of invoicing using Excel and enterprise resource planning systems. Additionally, fluent communication is maintained with the warehouse for receiving goods and parcels, ensuring proper registration and storage, as well as monitoring office supply inventory.
**Internal organization is critical:** schedules are managed, meeting rooms are booked, and shared calendars are updated. For important events or visits, restaurant reservations are handled with judgment and agility. Finally, shipments, courier services, and administrative documentation are managed—including occupational health and safety procedures for new facilities. The contract is temporary and part-time.
Fluent English is required, with the ability to hold conversations and exchange correspondence with international executives. At least four years’ prior experience in reception, office management, or administrative roles involving public-facing responsibilities is essential. Proficiency in Microsoft Office applications—especially Excel—is highly valued, as are basic knowledge of enterprise management systems such as SAP or Ariba for purchase order workflows.
