Job Posting Location: Barcelona, Barcelona, Spain Functional Area: Information Technology Working Model: Hybrid Requisition ID: 10696 **A** **bout the Role** For the **Barcelona Digital Hub**, we are seeking a highly organized, proactive, and service-oriented **Assistant** to provide administrative, organizational, and operational support to both the **Country IT Head** and the **Regional IT Head**, as well as cross-functional support to the Hub teams. This position is critical to the daily smooth operation of the Hub, facilitating coordination, communication, and operational efficiency across digital teams (GDD, GIT, GIS, GOT). **Key Responsibilities** **Executive \& Administrative Support** * Direct support to the **Country IT Head** and the **Regional IT Head**: * + Management of complex calendars and meeting coordination. + Preparation of presentations, documents, and supporting materials. + Tracking of action items, tasks, and commitments. * Handling correspondence, internal communications, and coordination with internal and external stakeholders. * Support in general administrative tasks (POs, approvals, internal requests, etc.). **Travel \& Logistics Management** * End-to-end organization and management of **individual and group travel** for Digital Hub members (GDD / GIT / GIS / GOT): * + Flight, hotel, and transportation bookings. + Coordination of international travel and compliance with corporate policies. + Management of changes, incidents, and reimbursements. * Logistical support for offsite meetings, workshops, and international gatherings. **Facility Management Support** * Support for **facility management** activities at the Barcelona Digital Hub: * + Coordination with service providers (offices, maintenance, catering, etc.). + Management of access, workstations, and logistical requirements. + Support for workplace improvement initiatives and employee experience enhancement. **Events, Onboarding \& Community Support** * Organization of **internal Hub events**: * + Town halls, workshops, team sessions, corporate and engagement events. * Coordination of **onboardings** for new hires: * + Logistical preparation. + Coordination with HR, IT, and Facility teams. + Ensuring a seamless and professional welcome experience. * Support for Hub culture, communication, and community initiatives. **Coordination \& Process Support** * Support in coordinating between Hub departments and other corporate functions (HR, Finance, Procurement, Global IT, etc.). * Support in managing and improving administrative and organizational processes. Maintenance of Hub documentation, contact lists, and repositories. * **Required Qualifications \& Experience** * Professional or university education in Administration, Management, Executive Assistance, or related field. * Prior experience (minimum 2–3 years) in **Assistant**, **Executive Assistant**, or administrative support roles within corporate environments. * Experience in travel management, event organization, and executive support. * Proficiency in Microsoft 365 tools (Outlook, Teams, PowerPoint, Excel, SharePoint). * High level of **English** (spoken and written).
