**Head of Administration – Legal and Regulatory Compliance Export Assistants**
**Department:**
Administration / International Operations
**Reports to:**
Finance Directorate
(Close collaboration with Commercial and Logistics Directorates)
**Location:**
Spain (with international interaction)
**Job Mission**
Ensure the **correct administrative, documentary, and operational execution** of the company’s export activities by leading and coordinating the export assistants team, guaranteeing regulatory compliance, process efficiency, and a high level of service to international customers—thereby facilitating legal tariff savings for our customers.
**Key Responsibilities**
**Team Management and Leadership**
* Lead, coordinate, and develop the legal/documentary export assistants team.
* Ensure operational coverage so that all files are technically and legally completed correctly for OEA (Authorized Economic Operator) compliance.
* Train the team on procedures, international regulations, and internal systems.
* Evaluate performance, identify training needs, and propose improvement plans within the assistants team to avoid company risks arising from human error.
**Export Administrative Management**
* Supervise and validate export documentation:
+ Commercial invoices
+ Packing lists
+ Certificates of origin
+ Customs and transport documentation
+ Documentary credits and international collections
* Ensure compliance with customs, tax, and foreign trade regulations.
* Coordinate with customs agents, freight forwarders, and financial institutions in cases involving documentary credit payments.
**Interdepartmental Coordination**
* Act as the liaison between International Sales, Logistics, Finance, and Customer Service departments.
* Ensure accurate transmission of sales terms (Incoterms, payment methods, deadlines).
* Resolve operational incidents affecting invoicing, collections, or delivery.
**Process Control and Improvement**
* Optimize export administrative processes to improve efficiency and reduce risk.
* Define and maintain internal procedures and controls.
* Actively participate in continuous improvement projects, digitalization initiatives, or ERP implementation related to international sales and OEA.
* Analyze operational KPIs (lead times, incidents, documentary errors) to identify corrective actions.
* Record OEA-related incidents pertaining to the export function.
* Ensure correct closure of DAEs (Electronic Dispatch Declarations) at the final exit customs office for all export operations.
**Finance Support**
* Ensure accurate international invoicing.
* Collaborate on monitoring international collections and managing customer credit risk.
* Support internal and external audits related to export operations.
**Required Profile**
**Education**
* Experience in international business.
* Preferably a degree in Business Administration and Management (ADE), Finance, International Trade, or a related field.
* Additional training in international trade or logistics (desirable).
**Experience**
* Minimum of **2\-3 years** of experience in export administration.
* Prior experience managing administrative teams.
* Experience working in companies with significant international billing volumes and operations.
**Technical Knowledge**
* International trade and international regulations.
* Incoterms and international payment methods.
* Export documentation management.
* ERP systems (SAP, Dynamics, Navision, or others).
* Advanced Excel and administrative management tools.
**Languages**
* Spanish: native or bilingual.
* English: advanced level (professional use required).
* Other languages (French, German, Italian): desirable.
