**Position Description**
Reporting directly to the General Management, this role will contribute to ensuring the proper administrative, logistical, and operational functioning of the Foundation’s headquarters in Madrid, guaranteeing appropriate working conditions in the office, its maintenance, as well as coordinating and carrying out secretarial and institutional support functions effectively meeting the organization’s needs.
**General Responsibilities:**
* Implement, update, and ensure compliance with administrative policies and procedures applicable to the organization, operation, and activities of the headquarters, proposing improvements where appropriate.
* Support monitoring and execution of the headquarters’ budget, identify variances, and propose corrective measures to Management.
* Manage relationships with and service provision by external suppliers (courier services, cleaning, electricity, telecommunications, internet, climate control, furniture, equipment, consumables, alarm systems, transport ticket purchases, accommodation bookings, etc.) to ensure proper functioning and maintenance of the Foundation’s headquarters facilities.
* Negotiate, formalize, and supervise contracts with service providers for the headquarters, ensuring quality, cost-effectiveness, and compliance with agreed terms.
* Coordinate and carry out administrative and institutional procedures before public bodies (notary offices, Foundations Registry and Protectorate, Legal Deposit, other public registries).
* Support the Board of Trustees’ Secretariat and General Management in the Foundation’s documental and institutional management.
* Support the organization, logistical coordination, and hosting of workspaces, meetings, and training sessions organized by the Foundation’s General Services Department.
* Coordinate administrative staff under supervision, fostering motivation, professional development, and continuous improvement.
* Supervise administrative and accounting tasks (invoicing and tracking of receivables/payables, petty cash, settlement of bank card expenses, processing of travel expense claims for General Services staff).
* Supervise handling of the official mail of the Foundation’s headquarters.
* Supervise digital and physical archiving of employment contracts for headquarters staff, as well as printing, distribution, signing, and archiving of payroll documents.
* Supervise administrative management related to occupational health and safety (OHS) at the headquarters, supporting the Internal Prevention Service (personal protective equipment, fire extinguishers, medical examinations conducted by the External Prevention Service, etc.).
* Supervise and perform, together with supervised staff, telephone reception duties, access control, and reception of suppliers and visitors.
**Knowledge and Experience**
* Vocational Training Qualification (Upper Secondary Level) in Administration and Finance, Executive Assistance, or equivalent.
* Advanced proficiency in Office 365 tools (advanced Excel skills). Experience with ERP and CRM systems (specific training will be valued). Knowledge of digital document management.
* Proven experience of at least five years performing responsibilities similar to those described above.
**Desirable Qualifications:**
* Prior involvement with FA as a volunteer, intern, or employee.
* Familiarity with the social action and international development cooperation third sector.
* Basic occupational health and safety training.
* Disability certificate indicating a disability level of 33% or higher.

* Professional Group: Group 2 under the State Collective Agreement for Social Action and Intervention + responsibility allowance.
* Mobility/availability for travel (participation in internal meetings and events within Madrid city and occasionally outside Madrid).
Salary: €29,000.00–€31,000.00 per year
